Know Your Numbers or Bleed Out Slowly

Most owner-operators who fail don’t fail because of bad driving — they fail because they didn’t understand their financials. This section covers everything from calculating your break-even rate to filing quarterly taxes.

Know Your Break-Even Rate Per Mile

Before you negotiate a load, you need to know the minimum rate per mile you can accept and not lose money. Add up ALL your fixed and variable costs:

  • Truck payment: $1,500–$3,500/month
  • Insurance: $1,000–$1,500/month
  • Fuel: $0.55–$0.65/mile (varies by MPG and diesel price)
  • Maintenance reserve: $0.12–$0.15/mile
  • Tires: ~$0.05/mile
  • ELD/phone/dispatch: $100–$300/month
  • Tolls: varies by region
  • Deadhead miles: factor in empty miles — they cost money too

Divide total monthly costs by miles driven per month. That’s your floor. Profitable owner-operators target $1.00–$1.50/mile net after all expenses. Gross rates in 2024–2025 averaged $2.50–$3.50/mile depending on lane and trailer type.

Quarterly Estimated Taxes

As a self-employed owner-operator, no one withholds taxes for you. You owe quarterly estimated payments to the IRS:

  • April 15 (Q1)
  • June 15 (Q2)
  • September 15 (Q3)
  • January 15 (Q4)

You owe self-employment tax (15.3%) plus federal income tax. Most O/Os set aside 25–30% of net profit for taxes. Use IRS Form 1040-ES.

Key Deductions

  • Per diem: $69/day (2024 rate) for meals while away from home overnight. You can deduct 80% of this.
  • Fuel: 100% deductible business expense
  • Truck payment interest: deductible
  • Insurance premiums: deductible
  • Maintenance and repairs: deductible
  • Section 179 / Bonus Depreciation: You may be able to deduct the full cost of your truck in year one instead of depreciating it over time. Talk to a trucking-specific CPA.
  • Cell phone (business use %): deductible
  • ELD subscription: deductible
  • Load board subscriptions: deductible

Factoring

Brokers typically pay net-30 to net-60. Factoring companies buy your invoices at a discount and pay you same-day or next-day. Cost: typically 2–5% per invoice.

Recourse vs. Non-Recourse: Recourse factoring means if the broker doesn’t pay, you owe the factoring company back. Non-recourse means the factor absorbs the risk — but it costs more and has more restrictions. Read the contract carefully.

Bookkeeping

Keep business expenses on a separate business account and card. Log every expense. The IRS will not care that you were busy.
